Office Admin and Customer Service Representative Job in Dubai UAE

JOB DESCRIPTION
Customer Interaction:
– Meet and greet walk-in customers, directing them to the appropriate service advisor.
– Collaborate with service advisors to ensure seamless customer service.
Job Card Management:
– Create job cards in the CRM upon receiving cars/wheels, following service advisor instructions.
– Record time spent and consumables used in each job card daily.
– Monitor schedule adherence and remind service advisor in case of time overruns
– Promptly update customers on work status and communicate any delays.
Invoicing and Accounts
– After services are completed, create invoices and receipts using Zoho Books.
– Share credit customers’ statement accounts with them and make sure payments are made on time.
– Manage the petty cash and keep it up to date. Share the ledger with the head office every day.
– Enter all of your bills and expenses into Zoho Books.
– Weekly send the bills to head office for refund.
Purchasing and Inventory:
Purchase orders with vendors and follow up on pending or new inquiries. Issue consumables for ongoing jobs and works. Work with the procurement team to purchase parts, spares, and consumables needed to complete the work. Manage all inward and outward (physical movement) stock. Conduct weekly stock counts and report results to the head office.
REQUIREMENTS
– Presentable, chirpy, extrovert.
– On-Site Job, 6 days a week.
– Customer-oriented, with the ability to adapt/respond to different types of characters
– Proven experience in office administration and customer service.
– Familiarity with CRM and Accounting systems, preferably Zoho CRM and Books
– Strong organizational and multitasking abilities.
– Excellent communication and interpersonal skills.
– Attention to detail and accuracy in data entry.
