JOB DESCRIPTION
- Handle the intake, scanning, verification, and storage of documents.
- File and archive relevant documentation efficiently.
- Retrieve documents for employees and clients as needed.
- Create and manage templates for file formats, document databases, and documents.
- Verify and amend papers to make sure they are accurate and compliant.
- Control the movement of papers into and out of departments.
- Report any changes or problems with document storage.
- Make sure that private and sensitive documents are disposed of securely.
- Systems for managing digital and physical documents should be updated and maintained.
- Preserve the privacy and security of documents.
- Assist staff members with document access via our document management system.
QUALIFICATION AND EXPERIENCE’
- Bachelor’s degree in Business Administration, Library Management, or Records Management.
- Minimum of 2 years of experience in document management or records management.
REQUIREMENTS
- Familiarity with document management systems such as SharePoint, OnlyOffice, DocuWare Cloud, and Rubex.
- Proficiency in document capturing systems like CAPSYS Capture and Xerox DocuShare.
- Strong skills in Microsoft Office Suite, particularly in document organization and reporting.
- Excellent typing, report writing, and document organizing skills.
- Knowledge of regulations regarding document keeping and handling.
- Ability to manage database changes proactively using document management software.
- Strong time-management skills to handle tasks efficiently.
