JOB DESCRIPTION
- Document Management: Organize, maintain, and update company records, including contracts, shipment records, and operational documents.
- Compliance: Ensure all documents comply with company policies and regulatory requirements, including local and international logistics standards.
- Version Control: Oversee the editing process and make sure the pertinent teams have easy access to the most recent versions of the papers.
- Filing Systems: Create and manage effective physical and digital filing systems to enable speedy document retrieval.
- Monitoring and Tracking: Keep tabs on the papers’ lifecycle, making sure they are updated, renewed, and archived as needed.
- Coordination: To guarantee efficient information exchange and document sharing, collaborate closely with both internal and external stakeholders.
- Reporting and Audits: Support internal and external audits by keeping accurate records and supplying the necessary paperwork.
- Confidentiality: Protect private data by putting in place and following stringent data security procedures.
QUALIFICATION AND EXPERIENCE
- Experience: 2+ years of experience in document control or administrative roles, preferably in logistics or a related industry.
- Education: A diploma or bachelor’s degree in Business Administration, Documentation Management, or a related field.
REQUIREMENTS
- Proficiency in document management software and MS Office Suite.
- Strong organizational and time-management skills.
- Attention to detail and accuracy.
- Excellent communication skills for coordinating with diverse teams.
