JOB DESCRIPTION
- Collect hard copy documents and scan and upload soft copies of the documents in the system as per the established procedures to ensure that records are captured and managed according to relevant standards and best business practices.
- Track all technical documents such as drawings, reports, specification, etc., to register them in document and record systems to ensure all documents are easily available and retrievable if required.
- Ascertain that all documentation is managed through the authorized documentation management system, which includes performing daily document quality checks, maintaining and controlling versions of both paper and electronic documents, and keeping an eye on the structure of electronic folders to make sure they comply with organizational standards.
- Notify registered document users of updates as needed; this may involve sending out controlled printed copies and sending out email notifications to make sure users have access to the most recent versions of the documents.
- Keep an eye on the Document Control Library’s storage and project documentation retrieval to make sure that records management policies and procedures are being followed.
- To guarantee that the right information is conveyed to maintenance, work management, and engineering (as needed), draft and file maintenance work packages for distribution.
REQUIREMENTS
Minimum
•Diploma
•2 years of relevant experience.
Or equivalent as stated in the Job Description Procedure (HR-PRC-0004).
Preferred
•2 years of relevant experience.
•Experience in Document Control Management System
