JOB DESCRIPTION
- Receive incoming calls, identify caller needs and direct to the appropriate extensions.
- Handling incoming and outgoing faxes, copies, scans, all necessary documents.
- Receiving visitors, customers and walk-in company representatives at the reception area, briefing about building safety and handling appropriately by notifying concern person in facility and guide them to the office / meeting room as requested.
- Ensuring the reception area is clean, well-organized and providing safe environment for employees and client / visitors.
- Managing all correspondence including dealing with email and distributing incoming mail to the appropriate individuals.
- Setting up couriers, turning over the parcel to the courier company, tracking it as needed or asked, receiving the courier, and turning it over to the concerned party.
- Helping with meeting and training reservations and making sure meeting spaces are always neat and attractive.
- Helping with office reservations and parties, making sure that food and drinks are provided as needed.
- Check stock and determine inventory level, anticipate needed supplies, place and expedite orders to maintain and order office / stationary supplies, IT / electronic accessories.
- For JAFZA timekeeping, issue visitor and product passes; sign off in the Kronos system.
- In JDE, order creation and record keeping. As needed, follow up to have supplies supplied and monitor the invoice with accounting.
- Supervising contracts pertaining to the facility and negotiating prices with suppliers and service providers with the facility coordinator.
- As needed, help with hotel reservations and travel plans.
- Keep your office tidy and productive.
- Working with the facility coordinator, arrange building specifications and offer assistance as needed.
- Back up the administrative and facility coordinator.
- Save calibration and safety-related records, and inform before expiration. Decide what has to be done for renewal or inspection.
- Anything else the management assigns relevant to the job.
QUALIFICATION AND EXPERIENCE
ESSENTIAL
- Minimum Diploma degree
- 3 years or above work experience
- Good command of English
DESIRABLE:
- Bachelor’s Degree
- Oil and Gas company experience will be an advantage.
- Experience of working with Kronos and JDE will be an advantage
