JOB DESCRIPTION
- Provide general administration support to IWM Dubai office, supporting office administrative activities
- Manage calendar for SEO of IWM Dubai, coordinate and arrange meetings, video/conferences and handling of bookings for business trips, claims submission etc
- Ensure logistics are in place for new staff onboarding/departure logistics
- Assist guests from other offices at the desk that is being covered: Setup of the IT, calendar management, assistant coordination, travel arrangements for their conference in Dubai, etc.
- Principal training administrator at IWM Dubai, overseeing all aspects of training management, including planning training schedules, reserving facilities, and keeping track of training attendance.
- Plan and oversee IWM events, such as onsite and offsite meetings for departmental business, annual dinners, and vendor, fund house, and business partner events.
- Send in a purchase request for the cost of IWM and make sure it is approved.
- Any additional administrative assistance or ad hoc projects that are thought to be required
- Manage ad hoc requests and license renewals through the DIFC portal.
- Order supplies as needed while keeping an eye on the inventory of office and pantry supplies.
REQUIREMENTS
- Minimum 5 years’ experience of relevant work experience
- Professional, pro-active with strong organization skills with maturity and flexibility in supporting various activities
- Have strong sense of responsibility and attention to detail
- Flexible to work as a team and also be able to work independently
- Good client orientation and communication skills
- Ability to handle pressure and constantly moving schedules
- Proficient in MS Office
- Knowledge of DIFC area and DIFC portal would be an added advantage
