JOB DESCRIPTION

Greeting visitors with a smile, helping them navigate to a meeting room and arranging with office girl to offer them with selected beverages as they wait.
• Visitors to MEA Office – local management of booking meeting rooms, food & beverages, etc.
• Support any new joiner with office & IT equipment’s, access cards etc.
• Sending couriers in a timely manner.

• Keeping an eye on office girl and giving her precise instructions and direction for things like obtaining building permits and cleaning the office.
• Place orders for kitchenware and stationery as needed.
• Guarantees that, in accordance with Dubai Civil Defense standards, all emergency and firefighting equipment is serviced on a regular basis.
• Plans and monitors the quarterly maintenance and filter replacement of the air conditioners in the office.
• Purchase orders, vendor contracts, confidentiality agreements, new vendor additions, etc. are created on time.
• Utilize our internal systems, including Adobe Sign, Ariba, and K2.
• Set up and keep an accurate, thorough, and current system for both paper and electronic filing.
• Prepare the necessary paperwork, including speaker contracts for external HCP meetings and internal permission papers.
• Efficiently and effectively archive all meeting materials and approvals for audit purposes.

REQUIREMENTS

• Ensures delivery of day-to-day administrative activities
• Plans, organizes, and schedules own workload so that all activities are completed accurately and on time.
• Handle any other project or ad hoc activity as and when they arise.
