JOB DESCRIPTION

  • Manage and maintain the Director’s schedules, appointments, and travel arrangements.
  • Assist with routine secretarial tasks.
  • Handle incoming and outgoing correspondence, including physical mail, emails, and phone calls, and maintain necessary registers.
  • Make inbound and outbound telephone calls to schedule appointments, direct inquiries, handle travel arrangements, and other queries as required.
  • Organize and maintain physical and digital files, ensuring accuracy and accessibility.
  • Coordinate and attend meetings and conferences.
  • Purchase and keep cleaning supplies, food products, office supplies, and oversee upkeep and repairs.

     

  • Welcome and greet guests, and provide drinks as needed.
  • Make sure the office space is hygienic and clean.
  • All office equipment (vehicles, machinery, air conditioning, vending machines, water filters, IT equipment, first aid kits, etc.) should be maintained under AMC.
  • Oversee the prompt renewal of memberships, insurance, and licenses for the company.
  • As assigned, help with special projects and activities.
  • Oversee PR/PO for necessary materials, including sourcing, haggling, planning and arranging delivery, making payments, and submitting paperwork to the bank.
  • Make executive travel plans, including reservations for hotels, flights, and visas; oversee deadlines and timelines.
  • Help with HR-related duties as needed.
  • Help with real estate tasks, such as posting advertisements, managing invoices, and making bill payments.

QUALIFICATION AND EXPERIENCE

 

REQUIREMENTS

  • Minimum of 5 years of working experience in Administration.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software and hardware.
  • Ability to multi-task and handle work pressure and deadlines effectively.
  • Effective communication skills in English, both written and verbal.
  • Ability to work independently as well as harmoniously with team members.
  • Discretion and confidentiality in handling sensitive information.
