JOB DESCRIPTION

  • Greet visitors, answer phone calls, and respond to emails in a professional and courteous manner.
  • Assist in scheduling appointments, meetings, and travel arrangements for staff members.
  • Check the stock of office supplies, guess what will be needed, place and speed up orders, and confirm arrival of supplies to keep an accurate inventory.
  • Take care of mail and goods that come in and go out, including sorting, distributing, and processing shipments.
  • Help organize and keep the office’s paper and digital filing systems by making sure that documents are properly labeled and easy to find.
  • Help different departments with their paperwork by entering data, typing, copying, and scanning papers.
  • As needed, help with special projects and events by getting things ready, coordinating logistics, and giving support on-site.
  • Always keep the office and shared areas clean, well-organized, and nice to look at.
  • Help set up fixes and maintenance for the office, as well as IT support services when needed.
  • Follow the company’s rules and guidelines, such as steps to protect privacy and data.

QUALIFICATION AND EXPERIENCE

  • High school diploma or equivalent.
  • Proven experience as an office assistant, administrative assistant, or similar role.

REQUIREMENTS

  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other office software.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively.
  • Strong communication and interpersonal skills, with a customer-focused approach.
  • Attention to detail and accuracy in handling administrative tasks and documentation.
