JOB DESCRIPTION FOR Office Assistant Job

  • Greet and assist visitors in a friendly and professional manner.
  • Answer and direct phone calls to appropriate personnel.
  • Handle mail, emails, and faxes as well as other incoming and outgoing correspondence.
  • Keep office filing systems organized and accessible by maintaining both physical and electronic systems.
  • Help in the planning and scheduling of events, meetings, and appointments.
  • Take care of ordering, replenishing, and inventorying office supplies.
  • Help with routine accounting duties, like processing expense reports and invoices.
  • Carry out routine administrative tasks, such as scanning, faxing, and photocopying papers.
  • As needed, assist other administrative staff members with a variety of duties and initiatives.
  • Ensure that the office area is neat and clean.

QUALIFICATION AND EXPERIENCE

  • High school diploma or equivalent qualification.
  • Proven experience as an Office Assistant or in a similar role.

REQUIREMENTS

  • Proficiency in Microsoft Office suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy.
