JOB DESCRIPTION

1. Perform general administrative and clerical support including mailing, scanning, faxing and arrange daily driver schedule

2. Provide administrative service to supervisor to streamline and organize work.

3. Perform data entry job by collecting and entering data in databases and maintaining accurate records for easy and on time retrieval:

a. Compile, verify accuracy and sort information according to priorities to prepare source data for computer entry

b. Review data for deficiencies or errors, correct any incompatibilities if possible and check output

c. Research and obtain further information for incomplete documents

d. Generate reports, store completed work in designated locations and perform backup operations

e. Scan documents and print files, when needed

f. Keep information confidential

g. Respond to queries for information and access relevant files

h. Comply with data integrity and security policies

4. Handle secretarial tasks such as photocopying, processing paperwork, and keeping track of office files and documents.

5. Keep track of various types of paperwork (hard copy and/or electronic), including emails, reports, and presentations, as needed by the team and/or the supervisor, in order to obtain data quickly and effectively.

6. Coordinates and oversees internal communications for awareness campaigns and initiatives including health and awareness seminars, HR cascades, etc.

7. Keep a sufficient stock of office supplies.

8. Completes additional tasks as delegated by the department head or manager.

 

QUALIFICATION AND EXPERIENCE

Higher Secondary Certificate or equivalent qualification.

Minimum 2 years* experience in a similar administrative assistant role

 

REQUIREMENTS

1. Knowledge of relevant software applications including MS Office

2. Proficient in use of email and internet

3. Good numeracy skills

4. Accurate keyboard skills

5. Knowledge of office management systems and procedures

6. Good inter-personal people skills are important because information clerks deal with the public
