JOB DESCRIPTION

  • Reports directly to the Director of Engineering, ensuring Seamless communication and support.
  • Executes sophisticated Secretarial Tasks including precise typing, meticulous filing, and efficient telephone management.
  • Prepares and formats essential Engineering Documents, ensuring they are presented Professionally and ‘FIVE-Styled’ Flair.
  • places a strong emphasis on accuracy and secrecy when organizing and safeguarding all contracts, financial documents, trackers, and invoices.

     

  • Ensures that all files are current and well-curated by meticulously updating and maintaining “FIVER” and training records.
  • Maintains Authority files for the Dubai Municipality, Trakhees, Dubai Civil Defence, and DTCM, making sure that all information is current and compliant.

     

  • Prepares Capex forms accurately and efficiently. Manages purchase requests, advance payment requests, IOUs, and expense claims.

     

  • Makes certain that all checklists, record sheets, signage, and logbooks are meticulously updated and maintained.

     

  • oversees the engineering team’s daily attendance and payroll documentation, submitting thorough reports to the human resources division.

     

  • Contributes to a productive and harmonious working environment by offering proactive support to the team in accordance with operational needs.

 

REQUIREMENTS

  • A minimum of 2 years of Engineering Administrative experience in a Luxury Hotel is preferred.
  • Computer literacy, with a mastery of Word, Excel, and Outlook.
  • Remarkable Time Management and Multi-Tasking skills to deliver ‘FIVE-Star’ Service, even under pressure.
  • A Proactive Nature, coupled with a meticulous Eye for Detail, ensuring every aspect of the Operation is curated to perfection.
  • Excellent communication and interpersonal skills, leveraging strong verbal and written skills to engage effectively with FIVE Tribe Members and stakeholders.
  • ‘FIVE-Styled’ Visionary thinking by finding creative solutions, while taking Ownership for all duties and tasks assigned.
