  • Screen incoming calls and greet guests in a professional and courteous manner
  • Arrange complex travel plans and compose detailed itineraries, obtain necessary travel documents and visa coordination
  • Schedule and organize meetings, conferences and off-sites including all related logistics
  • Get materials like Word documents and Excel spreadsheets ready for the team and make sure they are correct.


  • Set up, create, maintain, and improve a filing system


  • Use the Concur spending management system to track and assign professional expenses, such as American Express and out-of-pocket costs.
  • Write strategic communications like memos, letters, invitations, agendas, and other business letters for all projects and leaders. Edit the final draft to make sure it is correct and easy to understand; proofread for spelling, grammar, and consistency in style; and make the necessary changes.
  • Set your own work priorities and take care of business issues outside of regular business hours if you need to.
  • As given and needed, do other related general administrative tasks for executives.
  • Postal mail can be sent and tracked with FedEx and other services.
  • Work closely with the team and other helpers to cover the phone and offer back-up help.
  • As needed, using the PeopleSoft system to assign and code bills



  • Bachelor’s Degree or five or more years of administrative assistance experience or training, or equivalent combination of education and experience
  • Ability to thrive in a fast-paced and rigorous work environment; demonstrated ability to prioritize competing demands and meet deadlines
  • Strong initiative and ownership of responsibilities – must demonstrate a proactive, positive attitude towards given tasks, plan ahead for potential issues and take appropriate action
  • Exemplary interpersonal skills necessary to handle sensitive and confidential situations. Role continually requires demonstrated poise, tact and diplomacy.
  • Superb written and verbal communication skills.
  • Strong attention to detail when composing and proofing materials required
  • Team-oriented and collaborative attitude is a must
  • Extensive knowledge of Microsoft Outlook and proficient in Excel, Word and PowerPoint
