JOB DESCRIPTION
Administrative Tasks:
– Manage calendars, schedule appointments, and coordinate meetings.
– Prepare and edit correspondence, reports, presentations, and other documents.
– Maintain office records and filing systems (both digital and physical).
– Handle incoming and outgoing mail and communications.
Office Management:
– Monitor and order office supplies, ensuring the workplace is stocked and organized.
– Oversee maintenance of office equipment and liaise with service providers as needed.
– Ensure compliance with office policies and procedures.
Accounting Support:
Help with the processing of payments, receipts, and bills.
Preserve precise financial documentation and assist with bookkeeping tasks.
Keep track of, document, and help with cash transactions and reconciliations.
Compile expense sheets, summaries, and basic financial reports.
Assist with the preparation of payroll and, if necessary, the filing of tax returns.
To guarantee adherence to financial policies, coordinate with the accounting staff.
QUALIFICATION AND EXPERIENCE
– High school diploma or equivalent; associate’s degree or certification in office administration or accounting is preferred.
– Proven experience as a secretary, administrative assistant, or similar role with accounting responsibilities.
REQUIREMENTS
– Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and basic accounting software (e.g., QuickBooks, Xero, ZohoBooks).
– Basic knowledge of accounting principles and practices.
– Strong organizational and multitasking abilities.
– Excellent written and verbal communication skills.
– High level of discretion and confidentiality.
– Attention to detail and problem-solving skills.
