Admin Executive – Head Office Operations Job in Dubai UAE

  • Managing the GMG building staff consisted of receptionists and office assistants and scheduling their duties on a daily basis.
  • Maintaining time management for receptionists and office assistants including Overtime submission and Keeping track of Head Office operations for reports and updates.
  • Monitoring the daily Head Office operational activities and ensuring the smooth running of the office.
  • Ordering of Stationary, Pantry, Cleaning and Water supplies for the GMG Head Office and maintaining material consumption rate and inventory status.
  • Monitoring Office Assistants, cleaners and gardeners if they are well groomed.
  • Coordinating HO Operational activities, such as Pest Control, Cleaning Services, and Sanitization of the floors and all the touch points of the building during COVID.
  • Checking all the storage rooms to see if they are well-organized and kept clean and in neat condition.
  • Providing furniture such as chairs, tables, and wooden cabinets to new employees and stationery kits to the new joiners.
  • Checking on the maintenance of the HO building and ensuring that they are working properly, such as A/c, building Lights, lifts and Elevators: as well as coordinating Building Maintenance works like plumbing, maintenance works and similar in collaboration with the FM team.
  • Meeting room management including cleanliness, checking and ensuring that all meeting room devices are working and in order, such as Projectors, TV’s etc.
  • Evaluate bills based on actual usage and recommend a cost-saving plan package to the User.
  • Performs full responsibility & accountability to handle all tasks in Communications (including clearance completion) in the absence of the person in charge.
  • Assist & support communications operations on a daily basis.
  • Implements and reinforces communications strategies and policies to further company objectives.
  • Inventory management over SAP for Admin Warehouse.



  • 2-3 years of relevant experience
  • High School Diploma or University Degree


  • English (written and verbal)
